About This Project

A major Australian community, aged and disability care service provider needed to bring together their disparate systems, processes and data into a single, unified Enterprise system.

 

The Situation

The company had brought their companies together legally, but their disparate systems, processes and data needed to be standardised across the new organisational structure to improve reliability, usability and productivity.

 

The Approach

Information Professionals Group was engaged to plan the way forward.

Our first step was to confirm the need for an ERP renewal in line with the organisation’s strategic objectives. We started by seeking an understanding from the Executive of the organisation’s strategic drivers and constraints. This was followed by a series of investment workshops, small group discussions and an analysis of both current state and future plans and what the scope, benefits, costs, timing options and preferences for an ERP renewal would be.

We determined that their strategic objectives were to:

  • Achieve operational cost savings
  • Increase their delivery of services across digital and mobile
  • Increase the use of data and information in decision-making and reporting

With the strategic objectives defined, we then assessed the ability for an ERP to deliver on these objectives as well as building an understanding of the risks involved in embarking upon an ERP implementation.

Once the need for an ERP was established and support garnered from the Executive team and other management representatives, we worked with them to prepare a Program Strategy and Business Case so their ERP Program could launch from a solid foundation.

Using Agile techniques across a range of their stakeholders we:

  • Established the Program and Project Management processes and standards
  • Initiated the management and governance processes to effectively launch the ERP Program activity
  • Assessed and defined the Program delivery approach, including staging and priorities
  • Developed the Business Case, including estimated costs and benefits
  • Assessed and defined the resourcing and procurement approach so the right skills and capabilities were available and managed
  • Defined high level scope and delivery strategies associated with the technical, business and commercial dimensions of delivering an ERP
  • Developed an overall master schedule to guide the ERP Program delivery

 

The Impact

The business case for an ERP renewal was approved. The project gained strong support and has since been successfully delivered, helping to ensure that they meet their strategic objectives.

With a standardised enterprise technology, processes and data, they are benefiting from improved leverage of data and business intelligence, as well as the implementation of robotic process automation which is improving their digitised service delivery.
